Best Practice advice: Sage 300 user IMAN not allowed to approve customer exceeding credit (5 replies and 1 comment)

Just looking for a design recommendation here.

Recently ran into a situation where we saw this in the audit (which is fine, and follows the Sage 300 business logic):

The Accpac data import incurred an unrecoverable error and is quitting. [Accpac API Error 6666 - This user is not authorized to approve credit. 6666 - Shipment cannot be generated because it exceeds the credit limit for customer XXXXD. ]

Ok, this makes sense. The Sage 300 user is IMAN, and I suppose we didn't configure that IMAN user to approve credit. The customer would be happy with either solution below, with a preference for #1. Just curious what your recommendations would be.

#1: Ideally: Let IMAN approve the invoice exceeding the customer's credit limit. Somehow ALSO include the fact that it happened in an audit or exception list.

#2: If that is not possible, then just trap the issue, write to an exception list, and do not invoice. Continue with the rest of the job.

  1. You could allow the IMan user to override the credit limit.
  2. If you don't wish to give the IMan user the capability to override the credit limit, you can override it, by supplying another user credentials.

    See the Check Credit Limit/Approval section of the shipment (or order, or invoice) import.

    This doesn't really make a lot of sense as it means have two sets of credentials in IMan (one for the IMan user and another for the overriding user....but hey we support this anyway).

  3. Not entirely sure what happens with the auditing...you can try this out yourself.
  4. If the user doesn't have the necessary rights, an exception should be raised (as you have reported).

Thank you, I'll try- can you point me to the documentation on how to capture Sage 300 messages within the audit? That is what I want to make sure to capture. Is it with a log key?

Thanks for the guide so far. I'm confused as to why I'm getting a password error. Just for testing, I'm using the ADMIN password temporarily. I've tried entering the credentials with quotes "ADMIN" and enabling script evaluation, AND I've done it without quotes, and not using script evaluation. But I am consistently getting this error:

Accpac API Error 6666 - Password is invalid for this user ID. 6666 - Shipment cannot be generated because it exceeds the credit limit for customer 2MFBCT.

Attached is the map, showing the fields you suggest, and in a smaller screen, the Sage 300 connector.

Arline, have you encrypted the password value using the EncryptString function?

Thanks- I used EncryptString and now we're back in business. So it looks like I may not be able to both:
1. Approve the credit override
AND
2. Notify the end user that the credit override has been used.
Does that sound right to you? I don't see any Sage API messages coming through when I encounter this scenario. Any ideas on how I might log the occurrence of this?
